Refunds for cancelations will be given, less a $75 administrative fee, through midnight February 26, 2025 (the refund cut-off date). After that date, no refunds will be given. In the event that you are registered but not able to attend after the refund cut-off date, you have the option to donate your conference fees to WAI as a charitable donation or transfer your registration to another person in the same registration category. Any requests to transfer your registration must be sent in writing to WAI by February 26, 2025 by emailing waiconfreg@wai.org. Transfers will not be accepted after this date. Tour tickets must be purchased in advance and are non-refundable. 

The above policy applies in the case of flight delays, flight cancelations and travel disruptions due to weather or other causes beyond the control of the registrant and WAI.

Inspire." at the 36th Annual Women in Aviation International Conference, March 27-29, 2025, at the Gaylord Rockies Resort & Conference Center in Denver, Colorado. Journalists, photographers, and videographers attending WAI2025 may request media credentials using the link below.

Pay For A Student to Experience Conference

Thank you to everyone that paid for a student conference registration.  Because of your generosity, 25 more students are able to attend conference this year!
The deadline of January 21, 2025 has now passed to pay for a student(s) for conference, however you can still help a student volunteer maximize their experience at the conference by  choosing to pay for a student's admission to the Pioneer Hall of Fame Ceremony and Celebration Dinner!  For $99, you can allow them to be a part of this incredible evening to honor the heroes of our industry and inspire everyone in attendance.  Space is limited and may not be available for purchase onsite, so don't wait!

The option to pay for a student(s) for the conference and for the dinner are available for you to add when you register for conference.  You can also go back and add this to your registration in the Attendee Service Center
Student Members Requesting Financial Assistance:

Please check with your local WAI Chapter for additional opportunities for conference support.
Only students that volunteer onsite for conference will be eligible for a donated Pioneer Hall of Fame admission.  WAI cannot guarantee  enough donated tickets for everyone.  In order to guarantee a seat at the dinner, please purchase your admission along with your registration prior to the conference.

Volunteer Opportunities 

Did you know that the annual WAI conference isn't possible without a small army of volunteers? In addition to the core team of the WAI staff, more than 500 volunteers pull together to make each annual conference a success. Join our volunteer crew at WAI2025 and have fun experiencing the conference in a different way and meet other WAI members.

Please note, you must be registered for the day at the conference that you are volunteering. Please submit your registration first, and when asked if you are interested in volunteering, simply check "yes" and our Volunteer coordinators will reach out to you with the next steps!
